Ordering Materials for the Duggan Library

Faculty members, as determined by their departments, will have an allocation to be used for purchase of library materials in the faculty member's specific areas of interest and teaching within the discipline. Additionally, each faculty member teaching one or more LADR courses will have access to an extra $200 to purchase materials specifically intended to support these particular courses.

Faculty may place orders for materials through January 19, 2007.

After January 19, any money not expended by individual faculty will be reallocated to Department Chairs to be expended on materials of interest to the entire department. Orders on Department accounts may be submitted by Department Chairs until March 9, 2007.

On March 12, any money remaining will be reallocated to the Library and used to build the General Collection.

Faculty who spend at least half of their allocation by November 27, 2006 will receive an additional $50.00 for orders.

Order requests may be submitted (1) on the book order form located on the Library's web page, (2) on printed order forms available either from the Director's Office or at the Library's Circulation Desk, or (3) by marking and signing catalogs appropriately. Printed forms and catalogs should be sent to the Director of the Library (Ken Gibson) or to the Acquisitions Assistant (Bernice Hatton).

Important: if an item is to be charged against the $200 LADR course funds, the LADR course name or number must be indicated with the order request, otherwise normal department funds will be charged.

Out of print materials may be requested, with the understanding that every effort will be made to obtain them before the end of the fiscal year. Orders for out of print items still outstanding at the end of the fiscal year will be returned to the faculty member for review. The faculty member may reorder from the next year's funds or may place the item on an ongoing Library Want List for eventual purchase with general funds.

We would prefer that faculty not place an order for materials that are not yet published unless they are certain that the item will actually be produced during the fiscal year. If an item does not become available during the fiscal year, the order will be returned to the faculty member for reconsideration and reorder on the next year's funds.

Orders are placed through the Library's automated system and will show in the online catalog with a status of On Order. This status will change to Received, when the item has come to the Library, and will have a call number when it has been added to the collection. You may view newly cataloged items by following the information found on the library's web site at http://library.hanover.edu/newtitlelist.html.

Orders placed for Reserve, or that are Rush, must be clearly marked to receive priority treatment. If you wish to be notified when the item (rush/reserve materials only) is cataloged, you must specify this request on each order. However, please note that until our vacant cataloging position can be filled, we cannot guarantee rush cataloging of materials. While we will do our best to continue this service, to better ensure materials will be available when needed, orders should be placed as far in advance as possible.
